Send refill reminders and marketing emails from separate tools that share no health data
Unknownretentionemailnotifications
What they did
Anything after someone becomes a patient lives in the EHR with its own lifecycle tool (e.g. 'your refill is coming up'). Marketing lifecycle (e.g. a nutrition guide) runs in a separate tool with no patient information and must not mention the medication (e.g. tirzepatide) as the reason for the message. A controlled data boundary keeps PHI from crossing over.
“if someone has a medication refill coming up, so that is sent through a different set of tools so that you know there is no PHI escaping into the other piece”
“that cannot have a mention of, "Hey, your tirzepatide medication is why we are sending you this."”
